As Term 4 comes to a close, many school libraries are focusing on end-of-year reporting, budgeting, and stocktake preparation.
It is also when one question comes up again and again: “How do I run that report in Oliver?”
To make things easier, we have rounded up the Top 5 Oliver Reports every school library should use. These reports can help you review your collection, understand borrowing patterns, prepare budgets, and recover resources before the holidays.
When Term 1 rolls around, these same reports become the perfect tools to start fresh, updating borrower records, reviewing last year’s data, and planning for new programs.
Find out which titles, authors, or subjects were borrowed the most this year. Perfect for celebrating reading trends and planning next year’s orders.
Why run it
Identify high-demand titles to reorder.
Highlight popular books in displays or reading challenges.
How to run
Go to Circulation > Reports > Usage with Search Criteria.
Select the borrower and resource filters relevant to the data you want to include.
Set your transaction start and end dates
In Reports select ‘Most Popular Resources’ (with or without classification) to show which titles were borrowed most often.
Click Report ▶ and download the report when prompted.
Tip: Run it by term to see how interests shift through the year.
Before stocktake, this report is your best friend. It highlights resources that have not been borrowed recently, perfect for reviewing or weeding.
Why run it
Reduce what you need to count during stocktake.
Identify items for review, repair, or removal.
How to run
Navigate to Circulation > Reports > Usage with Search Criteria.
Select the borrower and resource filters relevant to the data you want to include.
Set your transaction start and end dates
In Reports, select Least Used Resources Report and click Reports ▶.
Download the report when prompted.
This report shows how often students in each year level use the library. It is an excellent way to track engagement and support literacy planning.
Why run it
Demonstrate library usage by year group.
Identify classes or cohorts needing more encouragement.
How to run
Go to Circulation > Reports > Usage with Search Criteria.
Select Roll Class and Borrower Type = Student.
Set your date range.
In Reports, select ‘Borrower Usage Report – Grouped by Scholastic Year’ Report and click Reports ▶
Download the report when prompted.
Recognise and celebrate your most dedicated readers. Oliver includes several versions of this report grouped by year, roll class, borrower type, bibliographic type, or gender.
Why run it
Recognise top borrowers in newsletters or assemblies.
Identify borrowing patterns across classes or genders.
How to run
Go to Circulation > Reports > Usage with Search Criteria.
Select the borrower filters and set your date range.
In Reports, select Most Frequent Borrowers (Detailed – Grouped by Year).
Click Report ▶ and download the report when prompted.
Tip: Try grouping by Gender or Roll Class for interesting insights.
Keep tabs on devices and other high-value assets such as iPads, laptops, and cameras.
Why run it
Know who currently has equipment on loan.
Support asset management and end-of-year audits.
How to run
Go to Cataloguing > Copies.
Filter the copies you want to include:
If you have a dedicated IT/Equipment branch, select that Branch and search.
Otherwise, use Resource Loan Category or Collection to limit the search to devices (e.g. laptops, iPads, cameras) and search.
Click Generate report.
Choose Resource Register from the list of reports.
Download the report when prompted.
As Year 12 students finish regular classes and move into exam block, it is the perfect time to remind them about outstanding loans. Oliver allows you to send these as email or print notices targeted just to this group.
This approach can also work well for other cohorts, such as Year 6 students moving to high school, so you can prompt them to return resources before they leave.
